How to Ensure You Receive Alert Emails
To receive daily email bill alerts or alerts about upcoming hearings on your bills, you first need to set up alerts on each individual bill sheet. To learn how to do that, read this help post. Each user has to set up their own alerts for each bill sheet, so even if you're collaborating on a bill sheet created by someone else you will need to set up your alerts.
We try very hard to make sure our emails aren't classed as spam by spam filters, but sometimes that can happen, and emails may be sent to your spam or junk folder. If you have set alerts up on specific bill sheets and you still aren't getting alerts, then you may need to 'whitelist' BillTrack50 to let your email client know that you want to get the emails.
Whitelisting
Whitelisting is a process by which you tell your mail service to trust a particular email address or domain and let emails through. It works by adding the email address to a special list so that the emails arrive in your inbox and never get marked as spam. The actual process depends on which email client you use to send and receive email.
Below, I list the process for some common email providers. If you use a different type of email, then check the help for the correct procedure. Or Google it!
Note: All alert emails are sent from DoNotReply@legination.com. This is the email address that you need to whitelist. To whitelist the single sender, put DoNotReply@legination.com. To whitelist all emails from the legination domain, to be on the safe side, you can put @legination.com.
Gmail on a computer
In Gmail, you have to set a filter to stop emails being sent to junk or spam:
- Log in to your Gmail account.
- Click the Settings gear icon in the top-right corner, then select See all settings.
- Navigate to the tab labeled Filters and Blocked Addresses to access information about your existing filters, and select Create a new filter.
- Enter DoNotReply@legination.com or @legination.com into the From section.
- Click Create filter to confirm.
- Put a mark next to Never send it to Spam to add this address to the Gmail safe sender list.
- Click Create filter again to save settings.
The Gmail mobile app
The Gmail mobile app does not have an option to create advanced filters, but it offers the possibility to whitelist senders in your spam folder:
- Open the Gmail app.
- Navigate to Spam or Junk folder.
- Click on an alert email.
- Select the option Report not spam. You will now receive alert emails as normal.
Remember to do it for both a bill alert email and and event schedule alert email if you have those.
Microsoft Outlook on a computer
To whitelist email domain or a specific address in Outlook means adding it to a group called Safe senders. To add an address or domain to the Safe senders list:
- Sign in to your Outlook inbox on the web.
- Select the gear icon in the top right corner to access Settings.
- On the left sidebar, click on Mail, then navigate to Junk email.
- Click on +Add under Safe senders and domains to add a contact to the allowed list.
- Enter DoNotReply@legination.com or @legination.
Alternatively, you can simply add DoNotReply@legination.com to your Outlook Contacts.
The Outlook mobile app
You can also whitelist emails in Outlook using your mobile device. Here’s how:
- Open the Outlook mobile app.
- Open an alert email.
- Click on the . . . on the top.
- Click Move to Focused Inbox.
- In the pop-up window, click Always Move to save your decision.
Remember to do it for both a bill alert email and and event schedule alert email if you have those.
